Audio is the first thing that should be designed and the last thing most budgets consider. A room's shape, ceiling height and surfaces decide what works in it — a hall that swallows speech needs a different answer from a lawn that lets it escape. Specifying from the room rather than from a price list is most of the work.

Lighting has to serve three things that pull against each other: the audience's view of the stage, the camera's exposure if the event is being filmed, and the mood of the room. A stage lit comfortably for the eye often looks flat on camera, and an evening segment lit for atmosphere can leave a speaker in shadow. We plan lighting states against the run sheet so each segment is lit for what it actually is.

The evening half of a corporate event is a different brief from the day half. Awards, dinner and the DJ segment want movement, colour and effect; the plenary before it wants flat, even, camera-safe light. Both come off one rig, switched by scene — which is why the lighting plot and the run sheet are built together rather than in sequence.

Questions we get about sound & lighting

How do you decide what sound system a venue needs?

From the room rather than the guest count. Ceiling height, surfaces, shape and whether it is enclosed all change the answer — a carpeted banquet hall and a glass atrium of the same capacity need different systems. We would rather see the venue, or at least its floor plan and photographs, before specifying anything.

Why does lighting cost more when the event is being filmed?

Because a stage lit comfortably for the audience is usually underlit for a camera, and the fix is more fixtures and more careful placement rather than simply more brightness. If there is video, say so at the briefing — retrofitting camera-safe lighting on the day is the expensive way to arrive at it.

Can you provide DJ lighting for the evening without changing the day rig?

That is the normal arrangement. Effects and moving-head fixtures sit on the same rig and are switched in as a separate lighting state when the evening segment begins.

Do you supply radio mics for panel discussions?

Yes, with frequency coordination done in advance. Venues in dense areas can have a crowded spectrum, and the time to discover that is at rehearsal rather than mid-panel.
