Multi-track summits, annual conferences and industry gatherings — where a slipped session breaks the rest of the day and the CEO's keynote is the one moment the whole event is judged on.

A conference is really three simultaneous productions: the plenary (which everyone sees and remembers), the breakouts (which each need their own AV crew rehearsed in advance), and the delegate experience around them (registration, badges, F&B, transport). Any of the three going wrong makes the whole event feel loose, so we plan and staff them as three coordinated workstreams rather than one big event.

Our production crew arrives with the full plenary staging, LED wall, lighting rig and audio kit, plus dedicated tech setups for each breakout room. The run sheet is built minute-by-minute in advance, rehearsed with your speakers where possible, and cued live on the day by a stage manager whose only job is keeping the schedule honest.

Most of the conferences we produce sit between 200 and 900 delegates, single or multi-day, at hotel convention halls or dedicated conference centres across Pune, Mumbai, and the wider Maharashtra corridor — plus corporate-hub cities like Bangalore, Hyderabad and Gurugram where we travel our own crew and equipment in.

Questions we get about conferences

Do you handle conferences with parallel breakout tracks, or just single-plenary events?

Both — most of the conferences we produce have parallel breakouts, each with their own dedicated AV setup and technician. We plan the breakouts as separate production workstreams that report into the same stage manager as the plenary.

Can you rehearse speakers in advance?

Yes — rehearsals are built into the day-before schedule for every keynote and panel where speakers are available. Where speakers can't come in early, we run a tech check as soon as they arrive on the day and have a teleprompter operator on standby throughout.

How do you handle delegate check-in for a 500+ conference?

Pre-printed badges keyed to the registration list, staffed check-in counters split by delegate type (attendees, speakers, sponsors, media), and an on-site data desk for last-minute adds. We aim for a five-minute check-in for the peak arrival window.
